Administrative Assistant to the Head of School - Leave Replacement (June-December 2021) 

Under the direct supervision of the Head of School, this position provides administrative support for the Head of School and manages the frontline operation of the Head of School Office. In addition to coordinating and maintaining office and calendars, meetings and schedules, the Administrative Assistant to the Head of School compiles reports, and performs duties such as employee record keeping, ordering supplies, coordinating mailings, and working on special projects. The position requires the employee to maintain confidentiality of all sensitive and confidential issues.
 
Discrete responsibilities of the Head of School Administrative Assistant include:

  • Oversee daily, frontline operations of Head of School Office
  • Manage Head of School schedule and calendar; brief Head of School on All-School events for attendance and role purposes 
  • Perform various administrative tasks for Head of School
  • Arrange conference registration, travel and lodging accommodations for the Head of School and senior leadership as needed 
  • Collaborate with the Director of Special Events to organize and set-up all events Head of School hosts, such as faculty meetings, social gatherings and all-school events 
  • Communicate with outside vendors for Head of School office needs 
  • Inform Head of School of urgent and sensitive matters requiring immediate attention and rearrange schedule as needed; maintain confidentiality of all sensitive and confidential issues
  • Coordinate all Board of Trustees meetings; prepare Board of Trustees meeting packets; coordinate with Director of Development, who will take minutes
  • Assist Board Committee Chairs to schedule committee meetings 
  • Maintain updated contact information for board members
  • Register board members for relevant trainings and workshops
  • Review, approve and submit Head of School’s invoices and expense reimbursement including all American Express charges 
  • Provide detail description, account number and receipts for Head of School American Express charges 
  • Monitor Head of School and All-School related expenses in accordance with budget
  • Notify senior administrators, directors, nurses and department heads of daily faculty and staff attendance and update daily attendance regularly
  • Order office supplies and materials 
  • Filing, as needed
  • Other duties as assigned by the Head of School

Required Education and Experience: 

  • Associate degree
  • Three years of related experience

Preferred Education and Experience: 

  • College diploma
  • Five years of administrative experience, preferable at a school

Additional Eligibility Qualifications:
This position requires executive use of computer systems including specific knowledge of G Suite, Microsoft Office Suite: Excel, Word, Outlook, Access, Power Point, Senior Systems and File Maker Pro.
